Responsibilities
- Verify and adjust time records with team members, including sending reminders, clarifying discrepancies, making corrections, and managing staffing changes
- Collect approvals for subcontractor team members
- Manage overtime approval collection, check overtime records through the system, and send reminders to managers
- Verify billing information, including mapping new roles and checking billing roles and rates
- Oversee the billing roles/rate approval process, including P&L creation and collecting necessary approvals
- Execute the month-end closure process, including final data checks and sharing timesheets with customers
- Support the BGC process by sharing materials, collecting information, managing corrections, creating requests, and organizing trainings
- Prepare offboarding letters for departing team members
- Handle staffing tasks from the program or project side, including assigning, terminating, creating, and correcting team member records
- Manage travel processes, including collecting approvals, checking requests in the system, making corrections, verifying expense reports, handling mission visa requests, and creating requests for customer approval
- Provide consultations to team members on travel, time/overtime, BGC, roles, and processes
- Support CRM processes, including opportunities and contract flow management
- Update forecasting files and check customer balances and limits
- Prepare and deliver weekly reports for customers
Requirements
- Minimum of 3 years of relevant experience in business operations or a related field
- Proficiency with Atlassian Confluence for documentation and knowledge management
- Experience using Atlassian Jira for workflow and task tracking
- Strong finance review skills, including the ability to analyze and verify financial data
- Advanced Microsoft Excel skills for data analysis, reporting, and forecasting
- Experience with Miro for visual collaboration and process mapping
- Excellent English communication skills (C1+ level or higher) and experience in client-facing communications, including direct interaction with stakeholders

- Proficiency in Arabic for supporting multilingual teams or clients
