Responsibilities
  • Manage daily mail operations including sorting, scanning, and distributing incoming mail while processing outgoing shipments
  • Maintain office and kitchen supplies including fresh food orders, snacks, coffee/tea, and paper products
  • Process financial documents including FedEx invoices and Concur expense reports with accuracy and attention to detail
  • Prepare and support meetings by setting up rooms, ordering meals, and ensuring post-meeting cleanup
  • Submit and track facilities work orders while coordinating with building management for timely resolution
  • Assist with access administration for new hires and departing employees in partnership with HR
  • Plan and coordinate engaging office events and gatherings that foster workplace community
Requirements
  • 2+ years of experience in office services, facilities coordination, or administrative support roles
  • Strong organizational abilities with exceptional attention to detail and follow-through
  • Customer service mindset with professional communication skills and problem-solving approach
  • Experience managing multiple priorities in a dynamic environment with changing needs
  • Comfort with basic financial processes including invoice handling and expense reporting
  • Ability to maintain confidentiality when handling sensitive items like credit cards and legal documents
  • Physical capability to lift/move office supplies and stand for extended periods during events
