Role Title: Operations Coordinator
Reports To: Head of Operations
Location: Sydney, Central.
Work arrangement: Part Time 3 days per week, 6-month contract, opportunity for extension
The Operations Coordinator works cross-functionally to ensure Fishburners’ physical spaces, digital systems, and operational processes run smoothly and reliably. This role is critical in maintaining a high-quality member experience while enabling the execution of organisational initiatives and scalable operations.
Role Purpose This Role Enables Operational Efficiency Across The Organisation By
- Supporting smooth day-to-day operations
- Enabling cross-team delivery of initiatives
- Supporting member governance and operational finance processes
- Space Management & Infrastructure
- Maintain a safe, welcoming, and high-functioning workspace aligned to the Fishburners brand
- Oversee day-to-day operations of Fishburners’ premises
- Coordinate and manage contractors (e.g. facilities, cleaning, gardening, vendors)
- Work closely with external facility operations teams to ensure operational efficiency
- Support any new site setups, space changes, and launches
- Governance, Risk & Strategic Operations
- Work cross-functionally to ensure operational readiness for company-wide initiatives
- Support planning, delivery, and reporting for operational and strategic projects
- Maintain team Asana boards and KPI tracking to ensure data accuracy for BAU and projects
- Facilitate team scrums, rounds, and coordination rituals to unblock workflows
- Member Support
- Support the Customer Service Manager and Ecosystem Team with onboarding and offboarding requests
- Coordinate access cards, desk allocations, and workspace setup
- Invoicing, Accounts & Expense Reporting
- Chase, track, log responses of aged receivables
- Monitor facility and team social expenses and flag variances to the Head of Operations
- Manage contractor invoicing and billing, escalating discrepancies to Finance and Head of Operations
- Update relevant budget documents and communicate changes with stakeholders
- Digital Systems & Infrastructure
- Support automation, digital workflows, and system integrations to reduce friction
- Log, track, and resolve operational issues through agreed systems (e.g. jira ticketing, Asana, hubspot etc)

- Experience in operations, facilities, or office coordination
- Strong organisational, coordination and communication skills
- Comfortable working across tools like Asana, ticketing systems, and shared platforms
- A proactive problem-solver who enjoys keeping things running smoothly
