HubSpot CRM & Automation Specialist (NDIS / Healthcare Focus)

About The Role

We’re looking for a high-level HubSpot expert to design, build, and optimise a fully structured CRM ecosystem across multiple business units.

This is not a basic admin role.

You’ll be responsible for architecting how leads flow, how data is structured, and how revenue is tracked end-to-end.

What You’ll Be Responsible For CRM Architecture & Lifecycle

  • Design and implement lifecycle stages: Lead → MQL → SQL
  • Build logic for movement between stages based on qualification rules
  • Ensure alignment between marketing, intake, and sales teams

Lead Management & Scoring

  • Implement a 0–10 lead scoring model based on:
  • NDIS funding status
  • Accommodation intent
  • Referral type
  • Automate scoring updates and lifecycle progression
  • Ensure clean separation of recruitment vs participant leads

Deals Pipeline & Revenue Tracking

  • Build and optimise opportunity-based pipelines
  • Ensure deals are created at SQL stage
  • Map full journey from enquiry → placement

Lead Source & Attribution

  • Implement structured source tracking across:
  • Google Ads
  • Meta Ads
  • LinkedIn
  • Organic / SEO
  • Referrals
  • Configure UTMs, hidden fields, and drill-down source tracking
  • Solve attribution gaps (especially phone calls + offline conversions)

Automation & Workflows

  • Build workflows for:
  • Lead routing
  • Lifecycle updates
  • Data validation
  • Notifications (SQL alerts, intake handoffs)
  • Eliminate manual processes wherever possible

Forms & Data Capture

  • Standardise form structure across:
  • Website forms
  • Meta lead forms
  • Google lead extensions
  • Ensure key fields are always captured:
  • NDIS funding
  • Location
  • Service type
  • Implement hidden fields for brand + campaign tracking

Reporting & Dashboards

  • Build dashboards for:
  • Leads, MQLs, SQLs
  • Conversion rates
  • Lead quality breakdown
  • Performance by location / property
  • Ensure reporting is aligned with real business outcomes (not vanity metrics)

What Success Looks Like

  • Clean, reliable reporting across all brands
  • Clear visibility from first enquiry → placement
  • Accurate attribution of leads and revenue
  • Minimal manual intervention from the team
  • Scalable CRM structure that supports growth

What We’re Looking For

  • Proven experience designing end-to-end HubSpot CRM systems
  • Strong understanding of:
  • Lifecycle stages
  • Lead scoring
  • Attribution
  • Automation logic
  • Experience with multi-brand or multi-service businesses
  • Ability to think strategically, not just execute tasks
  • Bonus: Experience in NDIS, healthcare, or service-based industries
