We’re looking for a sharp, proactive, and highly organised Executive Assistant to support our APAC Managing Director and help keep our Sydney office humming. If you're someone who thrives in a fast-paced, global environment and genuinely enjoys being the go-to for all things getting-done—read on.

Role Type: Hybrid - At least 4 days in the office

Responsibilities

Executive Partnership:

  • Own the MD’s calendar, schedule and protect time across global time zones (AEST & CET)
  • Prepare for meetings, take minutes, chase actions—be the right hand that keeps things moving
  • Manage sensitive information with absolute discretion

Inbox + Comm Wrangler:

  • Triage the MD’s inbox—prioritise, respond, and keep things flowing
  • Communicate seamlessly with stakeholders across regions and levels

Master of Movement:

  • Plan end-to-end domestic and international travel—flights, hotels, visas and more
  • Stay one step ahead with well-organised itineraries (and backup plans, just in case)

Office & Admin Hero:

  • Be the heart of our Sydney office—keep things stocked, smooth and connected
  • Support onboarding/offboarding, local events, and visiting team members
  • Help shape presentations, reports, and collaborate across functions

What you bring:

  • A cool head under pressure, a sharp eye for detail, and a can-do, upbeat attitude
  • Exceptional written and verbal communication skills
  • Comfort working with confidential info and across time zones (flexibility is key!)
  • Confidence in tools like Microsoft Teams, Concur, CRMs and the MS Office suite

You’ll be the invisible force that helps leadership lead, and the friendly face that keeps the Sydney office culture strong.

Knowledge, Skills & Experience:

  • Proven experience as an Executive Assistant or similar role supporting C-level or regional leadership, preferably in financial services or technology.
  • Strong time management and organizational skills; able to manage competing priorities.
  • Excellent communication skills, both written and verbal.
  • Discretion and professionalism in dealing with sensitive or confidential information.
  • Availability to work flexibly to accommodate international time zones (especially CET).
  • Strong attention to detail and a proactive and fun mindset.

Qualifications

  • Prior experience supporting leaders in a matrixed global environment.
  • Experience using collaboration tools such as Microsoft Teams, Zoom, Concur (or similar expense systems), and CRM platforms.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and calendar management tools (e.g., Microsoft Outlook, Google Calendar).
