We are seeking a sharp and highly organized Executive Assistant to support our CEO at our Chicago headquarters. We're looking for someone proactive, strategic, and globally minded who can serve as a true business partner to the CEO.

This role requires excellent judgment, exceptional communication skills, and the ability to operate independently with maturity and confidence. The ideal candidate will be globally aware, culturally intelligent, and capable of managing high-level business matters with discretion and clarity. This role is ideal for someone who is ready to take the next step in their career and ready to contribute to the success of a high-performing leadership team.

Responsibilities

  • Provide daily executive support to the CEO, ensuring efficient handling of all administrative and strategic priorities
  • Manage a complex, fast-moving calendar including prioritization, scheduling, and preparation for meetings and business travel
  • Run or represent the CEO in meetings, tracking key decisions and ensuring timely follow-ups
  • Liaise with global department heads to monitor project progress and maintain alignment across functions
  • Draft, prepare, and manage executive communications, presentations, reports, and decision-making briefs
  • Maintain and organize sensitive business documentation, internal tools, and dashboards (e.g., Confluence, SharePoint, JIRA)
  • Proactively resolve roadblocks, streamline processes, and support the CEO in saving time on operational matters
  • Maintain confidentiality with the highest level of discretion and professionalism
  • Act as the CEO’s gatekeeper and trusted partner, always operating with a business-first mindset

Requirements

  • Bachelor’s or Master’s degree from an accredited university, preferably in Business, Law, or a related field
  • 4–6 years of experience supporting senior executives in high-pressure, fast-paced environments
  • Advanced proficiency in Microsoft Office (especially Outlook, Excel, and PowerPoint)
  • Excellent written and verbal communication skills, with a clear, confident, and professional tone
  • Independent, self-driven, and highly detail-oriented
  • Global perspective and cultural sensitivity — ideally multilingual or with experience living/working abroad
  • Demonstrated ability to run meetings, handle key business decisions, and operate as a strategic extension of the CEO
  • Must be based in Chicago and available to work on-site daily

Preferred Qualifications

  • Experience in a regulated industry such as fintech, finance, legal, or consulting
  • Familiarity with project management and collaboration tools such as JIRA, Confluence, and SharePoint
  • Background in multicultural or diverse work environments; open-mindedness and cultural awareness are key
